Synopsis Of The Audits Done
Objective:
- To ensure that the NGOs deliver as per the MoU signed with Hero MotoCorp
- This would involve doing continuous random checks across multiple locations
- Checks would include, but not be limited to: Beneficiary profiles

TLM
Attendance
Adherence to plans and guidelines
Quality of work
Adherence to deadlines
Branding
Key Issues:
- Bridging the gap between HERO's & ACT's expectations on professional delivery on Projects in view of the NGOs current abilities & practices
- This includes hand holding the NGOs, guiding them and helping them find solutions internally or jointly to enhance deliveries
- Incorporating systems and recommending processes
- Setting bench marks and inculcating best practises
- Driving acceptance to understand CSR v/s Philanthropy. Thus, driving change in the partners to increase the end impact
- Ensuring last mile delivery and complete stretch of the rupee!
Methodology:
- Random checks at all locations: Monthly 100 % checks being done at all Skill Development Centres
- Physical check of documents and records at the centre
- Tally with those present (Staff & Beneficiaries)
- Infrastructure check and its consistency
- Feedback from Beneficiaries on Quality of Training
- Impact assessment - Tele checks and feet on street beneficiary forensic checks
NGO 1: School Sanitation
Key Issues:
- Extremely tight deadline for a Project that has a fair Geographical spread to manage and control
- Initial time lost due to Documentation, fund release, Year End Vacations, Exams and elections
- On ground implementation issues w.r.t. availability of water, soil conditions, Change of locations required by community, construction issues across 7 schools
Actions and Recommendations:
- A high-powered committee was formed including the MD and key HO staff that met weekly.
- Multiple teams formed for each location and NGO’s own staff also made to move base to locations for the project duration
- Multiple Contractors
- Stringent E Monitoring, Reporting and personal visits
Outcome:
- 307 Toilets across Gurgaon, Rewari, Patudi, Neemrana and Jaipur will be completed in the 30 Schools, on time in 4 months. This is a record even for the NGO.
- Excellent coordination between Client local teams, NGO staff, Contractors and ACT + NGO senior Management to ensure Quality and Timely Delivery
NGO 2: Skill Development of 350 Women
Key Issues:
- Delay in commencement of Batches
- Study Materials not given to IT students
- Insufficient Number of Computers
- Different students doing different exercises
- Inadequate Lighting /centres dark
- Documentation, Attendance & records
- Beneficiary profile
- Some of the Sewing machines were not working
- Some of the students are from a higher income group
- Some students tend to come late
- Prolonged Absenteeism.
- Some Students who are doing other courses
- Too many students in a batch
- Low Attendance due to exams/ festivals/ pregnancy
Reasons, Actions and Recommendations:
- Initial delays in MoU, Public Holidays, Exams. Etc

Actions and Recommendations:
- Magic Bus told to give advance notice

- Some grounds dirty. Change of venue recommended where possible.
- Magic Bus to do Advocacy and talk to local Municipal Authorities and Community
Outcome:
- Magic Bus agreed to give advance notice
- Issue partly Resolved. Magic Bus has agreed to enforce more discipline

NGO: 4 Skilling 600 differently abled women
Key Issues:
- Slow Progress. Various challenges faced in mobilizing and batch commencement
- 43 students were recruited but most of them have taken Study Leave till month end
- Details on commencement of new batches is awaited
Actions and Recommendations:
- ACT recommended to expand wider through more centres and further depth of disabilities.
- Re mobilize numbers of those students whose training has not been completed
- Multiple locations being shortlisted to achieve the target within the overall time frames
Outcome:
- New Centre tie ups done and reasonable numbers mobilized for next quarter.
- Up to 15 students have completed the sessions and 10 are placed. Rest will go in the next quarters pool.
